Most finance teams still spend hours every week on repetitive work: creating invoices, entering bills, chasing payments and copying data between spreadsheets, CRMs and accounting software. n8n, an open-source workflow automation tool, connects directly to QuickBooks Online and can take much of this manual work off your team’s plate. Here is how it works, what you can automate and how to start safely.
What is n8n?
n8n (pronounced “n-eight-n”) is a visual workflow automation platform. You build workflows by connecting “nodes” on a canvas. Each node is a step, such as “when a form is submitted”, “look up the customer” or “create an invoice in QuickBooks”. It connects to hundreds of apps, including Gmail, Google Sheets, Slack, Shopify, Stripe, HubSpot and WhatsApp, and it can call any service that has an API.
Two features make n8n popular with finance teams:
- Self-hosting: the Community Edition is free to run on your own server, so your financial data stays under your control.
- Flexibility: you can add custom logic, code and AI steps when a simple “if this, then that” rule is not enough.
If you’d rather not manage a server, n8n also offers paid cloud plans priced by the number of workflow executions.
What the n8n QuickBooks Online node can do
n8n’s built-in QuickBooks Online node connects securely to your QuickBooks company and works with the most important accounting records:
- Invoices: create, update, send, void, delete and fetch
- Customers and vendors: create, update and look up
- Bills: create, update, delete and fetch
- Payments: record, send, void and fetch
- Estimates: create, update and send
- Items, purchases and employees: read and look up records
- Reports: pull transaction reports for analysis
6 practical QuickBooks automations you can build with n8n
1. Automatic invoice creation
When a deal is marked “Won” in your CRM, or an order is placed on your website, n8n checks whether the customer exists in QuickBooks, creates them if needed, raises the invoice and emails it automatically.
2. Bills from email attachments
Vendor bills that arrive by email can be picked up by n8n. An AI step reads the PDF, extracts the vendor, amount, date and line items, and creates a draft bill in QuickBooks. Your accountant then reviews and approves it before it is paid.
3. Payment reminders
A scheduled workflow runs every morning, pulls unpaid invoices from QuickBooks and sends polite reminders by email or WhatsApp at 7, 15 and 30 days overdue. It stops automatically once the payment is recorded.
4. Payment recording from Stripe or your payment gateway
When a customer pays online, n8n records the payment against the right invoice in QuickBooks, so your receivables stay current without manual entry.
5. Daily cash and receivables summary
n8n can pull key figures from QuickBooks, such as total receivables, overdue invoices and bills due this week, and send a short summary to the owner on Slack, email or WhatsApp every morning.
6. Syncing data with Google Sheets
Many teams still rely on spreadsheets for budgets and MIS reports. n8n can copy invoices, bills and payments from QuickBooks into Google Sheets on a schedule, so your reports are always based on the latest numbers.
Benefits for your finance team
- Time saved: hours of repetitive data entry every week go back to analysis and client work.
- Fewer errors: data moves between systems without retyping.
- Faster cash collection: invoices go out on time and reminders are never forgotten.
- Better visibility: owners get up-to-date numbers without waiting for month-end.
- Low cost: self-hosted n8n has no per-task charges, unlike many automation tools.
How to get started safely
- Pick one process. Start with a single, high-volume task such as invoice creation or payment reminders.
- Map the steps. Write down exactly how your team does it today, including exceptions.
- Connect QuickBooks. Create a QuickBooks Online credential in n8n and authorise access to your company file.
- Test in a sandbox first. Use a QuickBooks sandbox or test company before touching live books.
- Keep a human in the loop. For bills, payments and anything AI-generated, add an approval step before records are finalised.
- Monitor and improve. Set up error alerts so failed runs are noticed, then expand to the next process.
Things to keep in mind
- Accounting controls still matter. Automation should follow your chart of accounts, tax settings and approval policies, not bypass them.
- Security: if you self-host, keep the server updated, use HTTPS and limit who can edit workflows.
- Availability: QuickBooks Online has not been sold in India since January 2023, so this setup suits Indian firms that manage books for US or other international clients, or businesses with overseas entities.
